This notice explains how Privacy Needle Solutions Limited handles personal information when people visit or use Privacy Needle AI. It applies to the platform, not to independently operated websites or services linked from it.

Information we process

Depending on your activity, this can include your name, account email, organisation membership and role, login and security records, assessment answers, documents you choose to provide, chat messages, compliance tasks and support correspondence. Please avoid supplying information that is unnecessary for your task.

Why information is used

We use information to create and secure accounts, provide requested workspace features, support team collaboration, answer support requests, detect abuse and meet applicable legal obligations. The applicable lawful basis depends on the purpose and circumstances, including contractual necessity, legal obligations and legitimate interests where permitted.

AI processing and service providers

AI requests and relevant context may be processed by configured cloud AI providers to generate answers or drafts. Hosting, authentication and storage providers may also process data on our behalf. AI output may be inaccurate and should be reviewed before operational or legal reliance. Do not upload confidential or sensitive evidence unless the service expressly supports that type of upload.

Optional website and product analytics

With your permission, we use Google Analytics 4 to understand website traffic, general page visits and navigation, and may use PostHog for pseudonymous product analytics. These services may process device and browser information, approximate location and pseudonymous identifiers. Our implementation does not intentionally send chat prompts, AI responses, private document contents, account emails, incident details or private record identifiers to these analytics providers. Selected marketing campaign parameters may be included in public-page Google Analytics events. Google and PostHog may process information internationally under their applicable terms and hosting arrangements.

Optional Google Analytics and PostHog tracking require you to choose “Allow analytics” in our consent panel. You can reject optional tracking or withdraw permission using “Analytics preferences”. Declining analytics does not restrict core product functionality. Automated click capture, form capture, session replay and advertising-personalisation signals are not enabled by our integration. Analytics information is subject to provider settings, retention limits and appropriate international transfer assessment.

Separately, the platform processes limited operational audit records for security, service delivery and administrative reporting. These records can include organisation/user identifiers, event types and timestamps, but our founder metrics do not expose private workspace contents. Operational audit records are separate from optional browser analytics.

Sharing and international processing

Access within an organisation is controlled through workspace roles. Authorised service providers may process information to operate the service, and information may be disclosed where legally required. Some providers may operate outside Nigeria; applicable transfer protections and vendor terms must be assessed for the processing involved.

Security and retention

We use access controls and other technical safeguards, but no online service is risk-free. Information is retained only as required for legitimate service, security and legal purposes, subject to applicable retention and deletion requirements. Backups and legally required records may not be deleted immediately.

Your privacy rights

Depending on applicable law, you may request access, correction, deletion, restriction or other action concerning your personal data, and may have the right to complain to the Nigeria Data Protection Commission. Use the platform's available support channel to make a privacy request. We may need to verify identity before acting.

Changes to this notice

We may update this notice as our services, providers or legal obligations change. Material revisions will be reflected on this page with an updated effective date.
